A clean import file begins before the quotation. Align the product, specification, certificate scope, test plan, packaging, Incoterm and destination documents in one purchasing basis.

Three decisions to make first
Specification, approved sample, COA/test requirements, inspection method, treatment and organic scope.
Invoice, packing list, transport document, origin or phytosanitary documents and other destination requirements as agreed.
Confirm destination requirements first
Import rules, organic procedures and buyer standards differ by market. Provide the destination country and port at the enquiry stage, and have the importer or customs adviser confirm the required documents.
Align every document to one product
The contract, invoice, packing list, specification, certificate and label should use consistent product identity and lot references. Avoid changing between vague common names after testing or booking.
Define who arranges tests and inspection
State the laboratory, methods, sampling party, timing, acceptance limits and responsibility for cost. A report from a previous crop is useful background but does not automatically represent the shipment lot.
Review pack and marks before shipment
Approve inner and outer packing, net/gross weight, carton or bag marks, organic references, pallet requirements and any destination label. Confirm booking details and final document drafts before cargo release.
